INFORMATION FOR MOVING EQUIPMENT AND EXHIBITS INTO AND OUT

OF THE CROCUS EXPO AREA

OBTAINING A VEHICLE PASS
A loading/unloading zone has been designated around the perimeter of the pavilions for organizing the import/export of exhibits and equipment. Vehicle entry into the loading/unloading zone is allowed with one-time paid passes, ordered in advance from the “Service Center” Department.

A paid pass for the loading/unloading zone is issued at the rate of 1 pass = 1 vehicle = 1 entry. If multiple entries are required, order several passes at once.
We recommend ordering passes for entry during dismantling in advance.

Before entering the loading/unloading zone, clarify in advance the location of the required assembly gates. After a single entry into the loading/unloading zone, the pass is considered invalid.

Passes are issued according to the vehicle type specified in the vehicle registration certificate. Payment for the pass is made to the “Service Center” Department of Crocus Expo IEC.

Cost for non-resident companies of the Russian Federation:

For a PASSENGER vehicle – 6000 RUB for 2 hours.
For a TRUCK vehicle with cargo for 1 participant – 12,000 RUB for 3 hours.
For a TRUCK vehicle with cargo for multiple participants – 200,000 RUB for 3 hours.

Staying in the loading/unloading zone beyond the allotted time is paid additionally at the “Service Center” Department. An additional charge of 2000 RUB is levied for every subsequent 30 minutes.

MOVING IN EQUIPMENT AND EXHIBITS

Equipment and exhibits are moved in through installation gates.
It is necessary before the moving-in (no later than one day prior):

Prepare a Letter for move-in/move-out using the provided form. The letter must be signed by the head of the company and stamped.
For your convenience, the Exhibition Directorate has prepared a template letter, stamped by the Organizer, which will be sent to your email no later than the Exhibition mountling start. You need to fill in information about your company – name, contacts, signature, and stamp.
Send the letter, stamped by the Organizer, and a request for an invoice for payment to the “Service Center” Department of Crocus Expo IEC by email: service@crocus-expo.ru. The request must specify the vehicle type, number of passes, and billing details, as well as the exhibition name, hall, and booth number.

In a reply email from the “Service Center” Department, you will receive a copy of the letter stamped “MOVING IN PERMITTED” and an invoice for payment of the required passes.

Mandatory!After paying for the passes, you must send an email to the “Service Center” Department of Crocus Expo IEC at service@crocus-expo.ru requesting that the pass be sent electronically.
You must have the stamped letter with you on the day of entry (3 copies). Passes for vehicle entry to the loading/unloading zone can be printed or saved on a mobile device.

OR, arrange on the day of entry:

Get the Letter for move-in/move-out (3 copies) stamped by the Organizer at the registration desk in the pavilion foyer (3rd floor near Hall 18).
Get the letter stamped at the “Service Center” Department in the pavilion foyer (1st floor near Hall 14).
Receive passes for vehicle entry to the loading/unloading zone (where they were ordered and paid for in advance: at the “Service Center” Department), or purchase them on-site at the “Service Center” Department desk in Pavilion 3 (1st floor near Hall 14).

Additional import of consumables during the exhibition period is arranged similarly.
On the last day of the exhibition, moving out of equipment and exhibits is permitted only after the exhibition is closed to visitors.
On the day of moving out, you must present the copy of the Letter for move-in/move-out kept by you to the security at the exit.

LOADING/UNLOADING

Local cargo
! Independent loading, unloading, and transportation of cargo using lifting mechanisms, all types of lifting and transport equipment (cranes, crane-manipulators, stackers, and other lifting mechanisms of any type) are prohibited. A fine will be charged by the exhibition center administration for violation. Unloading from a truck with a liftgate by hand or using standard or hydraulic trolleys is permitted.

RULES FOR BRINGING HAND LUGGAGE THROUGH THE MAIN ENTRANCE AND FOYER OF CROCUS EXPO IEC

When passing through the central entrances and magnetic gates into the pavilions of Crocus Expo IEC, visitors may bring hand luggage (weight – no more than 20 kg, size – no more than 60x60x60 cm, or total dimensions – no more than 180 cm), accessible for inspection by security personnel:

Ladies’ handbags
Tote bags
Suitcases
Backpacks
Outerwear
Umbrellas and walking canes
Baby strollers, wheelchairs for disabled persons

Crocus Expo IEC security does not allow items not classified as hand luggage through the main entrance and magnetic gates, even those that can be carried by hand.
It is NOT ALLOWED to bring in:

Equipment of any type and purpose
Furniture items and parts
Boxes
Packaging materials
Decoration items and materials (banners, posters, balloons, plants, etc.)
Advertising structures
Exhibits of any size, quantity, and type of packaging

These items can only be brought in by vehicle through the loading/unloading zone and delivered to the booth through assembly gates. Entry to the loading/unloading zone is based on a paid pass purchased from the “Service Center” Department based on an approved Letter for move-in/move-out of equipment and exhibits.
